#### Roles & Responsibilities * Track and manage **Purchase Requisitions (PRs)** and convert them into **Purchase Orders (POs)** within defined timelines. * Prepare and maintain **Purchase Quotation Comparisons (QCS)** and support vendor evaluation and selection through basic commercial negotiations. * Coordinate with vendors to ensure timely delivery of materials and proactively follow up on delays, shortages, or discrepancies. * Facilitate the timely return or replacement of rejected or damaged materials in coordination with suppliers. * Maintain accurate procurement records, purchase data, and documentation in ERP systems (Tally or equivalent). * Monitor open Purchase Requisitions and Purchase Orders, highlighting delays or issues to the reporting manager. * Support the identification, evaluation, and onboarding of alternate vendors to optimize cost and ensure uninterrupted supply. * Assist with cost comparisons, budgeting inputs, and procurement reporting. * Coordinate with Warehouse, Manufacturing, PPMC, and other internal teams to ensure smooth material flow and inventory availability. * Liaise with vendors, logistics providers, transporters, and other external stakeholders to ensure efficient procurement operations. * Coordinate inventory management activities with the warehouse team to maintain optimal stock levels. * Verify material quality, quantity, and expiry details at the time of receipt, wherever applicable. * Generate and maintain weekly and monthly MIS reports related to procurement activities. * Ensure compliance with organizational procurement policies, quality standards, and documentation requirements. * Support documentation and coordination for domestic procurement and basic international sourcing activities, where required. * Ensure appropriate handling, storage, and temperature compliance for sensitive materials in regulated environments. * Identify opportunities to improve procurement processes, efficiency, and cost optimization. * * * #### Key Performance Indicators (KPIs) * Timely procurement and delivery of materials. * Cost optimization while adhering to approved budgets. * Compliance with procurement policies and regulatory requirements. * Effective temperature monitoring and timeline adherence for sensitive materials. * Continuous process improvement and operational efficiency. * Strong collaboration with internal and external stakeholders. * * * #### Qualifications & Experience * Bachelor’s or Master’s degree in **Supply Chain Management, Logistics, Commerce, Business Administration**, or a related discipline. * **2–4 years of experience** in procurement, sourcing, or supply chain operations. * Experience in the **Pharmaceutical, Biotechnology, or Healthcare** industry is preferred. * Working knowledge of ERP systems such as **Tally, SAP, Oracle**, or similar procurement platforms. * Understanding of procurement processes, vendor management, and inventory control. * Exposure to domestic procurement; experience in international sourcing or import/export processes will be an added advantage. * Familiarity with documentation, compliance, and quality standards in regulated environments (GMP/GDP preferred). * Professional certifications such as **APICS, CIPS**, or equivalent will be an added advantage. * Strong proficiency in **Microsoft Excel** and data analysis/reporting. * * * #### Desired Qualities * Strong coordination and follow-up skills with a proactive approach to procurement activities. * Good analytical and problem-solving abilities for vendor evaluation and issue resolution. * Ability to work independently while collaborating effectively within cross-functional teams. * Capable of working under pressure and managing multiple priorities within strict timelines. * High attention to detail in procurement documentation, data accuracy, and process compliance. * Basic negotiation skills with vendors for pricing, delivery schedules, and commercial terms. * Adaptable, self-motivated, and eager to learn in a dynamic business environment. * Excellent communication and interpersonal skills for effective stakeholder management. * Proficiency in **Microsoft Office Suite (Excel, Word, PowerPoint)** and ERP systems. * Strong understanding of procurement operations and supply chain best practices. * Awareness of regulatory and quality compliance requirements, particularly within the pharmaceutical or biotechnology industry.
