#### Roles & Responsibilities * Handle customer inquiries through **phone, email, Google Business, and WhatsApp**. * Manage all front desk operations, including answering, screening, and forwarding incoming calls. * Welcome and assist visitors, ensuring a professional and positive front desk experience. * Provide accurate information to visitors and callers through in-person, telephone, and email communication. * Perform administrative tasks such as filing, photocopying, document management, and record maintenance. * Support the management and coordination of administrative support staff. * Maintain a professional appearance and represent the organization with excellent interpersonal skills. * Manage receipt of materials from vendors and coordinate with the Warehouse team. * Verify laundry garments, maintain inventory records, and update relevant registers. * Monitor housekeeping supplies and place orders as required. * Manage pantry inventory, including inward and outward stock movement. * Maintain attendance records for contract workers and visitor registers. * Arrange refreshments and meals for guests whenever required. * Verify received materials and maintain accurate records. * Oversee all Reception and Pantry-related activities. * Supervise administrative associates and allocate responsibilities to ensure smooth day-to-day operations. * Manage facility services, including security, surveillance, housekeeping, canteen, transportation, courier, and laundry operations. * Administer insurance-related activities, including **GMC, GPA, and vehicle insurance**. * Coordinate domestic and international travel arrangements, including accommodation and logistics. * Monitor office supply inventory and ensure timely procurement. * Manage service contracts related to transportation, housekeeping, security, canteen, PF & ESIC consultancy, and other administrative services. * Maintain and track administrative assets, including office equipment and furniture across multiple locations. * Coordinate corporate events, meetings, conferences, and employee engagement activities. * Support budgeting and cost-control initiatives by monitoring budget versus actual expenditures. * Handle statutory compliance related to **MIDC, NMMC, DISH (Factory)**, and other applicable regulatory authorities. * Ensure office facilities comply with government regulations, safety standards, and organizational policies. * Coordinate effectively with internal departments to support business operations. * Maintain knowledge of labour legislation applicable to permanent and contract employees. * Maintain physical and digital employee records, including employment contracts and related documentation. * Manage travel desk operations and provide administrative support as required. * * * #### Qualifications & Educational Requirements * Bachelor’s degree in any discipline. * Minimum **2+ years of experience** as a Receptionist or Administrative Executive. * Willingness and capability to independently manage both **Reception** and **Administration** responsibilities. * * * #### Desired Qualities * Strong organizational and time management skills. * Positive attitude with a customer-focused approach. * Excellent verbal and written communication skills. * Strong record management and documentation abilities. * Professional guest management and interpersonal skills. * Problem-solving mindset with attention to detail. * Ability to multitask and prioritize effectively. * Good reporting and administrative coordination skills. * Flexible and adaptable to changing business requirements. * Collaborative team player with a proactive work ethic.
