IT Admin — Function Lead
Location: Pune, Maharashtra, India | Work: HQ, Pune | Department: Information Technology | Reporting: CTO | Experience: 8+ years (including team / function leadership)

About Unbox Robotics

Unbox Robotics builds cutting-edge robotics and automation that is transforming warehousing and logistics. Our systems help some of the fastest-growing supply chains move faster, sort smarter, and scale without limits. As our team and infrastructure grow, reliable and secure IT is foundational to everything we ship — and that is exactly where this role comes in.

Role Purpose

The IT Admin Function Lead owns and governs IT administration across the organization and all its locations. You will be accountable for reliable, secure, and standardized IT services — end-user systems, servers, endpoints, access, and IT operations — and for the processes, documentation, and controls that keep them audit-ready as the company scales.
This is a senior, hands-on leadership role. You will set the standard for how IT administration runs at Unbox: lead and grow the IT Administration team, enforce SOPs and least-privilege access, drive full traceability of changes, and coordinate closely with the Security and Networking / Infrastructure functions.

Key Responsibilities

1. IT Administration & Operations Management

  • Own and govern day-to-day IT administration activities across all locations.
  • Ensure the availability and performance of end-user systems, servers, and IT services.
  • Define and enforce standard operating procedures (SOPs) for all IT administration tasks.
  • Coordinate with vendors for IT support, licensing, and service delivery.

2. User, Endpoint & Device Management

  • Govern user provisioning and de-provisioning, and set the standard for employee onboarding and offboarding end to end.
  • Define endpoint configuration standards for laptops, desktops, and peripherals.
  • Oversee OS builds, patching, EDR/antivirus deployment, and system hardening.
  • Manage the fleet through MDM / UEM tools such as Jamf, Microsoft Intune, and ManageEngine.
  • Ensure asset tagging, lifecycle management, and disposal compliance.

3. Access Control & Privilege Management

  • Govern administrative access and enforce least-privilege principles across systems.
  • Ensure privileged access is granted only with proper approval and documentation.
  • Run a Privileged Access Management (PAM) program and coordinate with Security on access reviews and audits.
  • Maintain accurate records of admin access, temporary permissions, and approvals.

4. Infrastructure & Application Support

  • Coordinate with infrastructure and networking teams on server, storage, and network dependencies.
  • Ensure availability and support for business applications and internal tools.
  • Manage application installations through approved, controlled processes.
  • Oversee endpoint and application licensing compliance.

5. IT Service Management & Reporting

  • Ensure all IT activity is tracked through ITSM tickets, email trails, and documentation — no ad-hoc or undocumented work.
  • Monitor SLAs and ensure timely resolution of incidents and service requests.
  • Maintain daily and weekly status reporting for management review.
  • Keep full traceability across every change and request.

6. Security, Audit & Compliance

  • Maintain audit-ready documentation for IT administration, and support internal and external audits (IT, security, compliance).
  • Drive closure of audit points and corrective actions within defined timelines.
  • Keep IT policies, SOPs, and checklists current.
  • Coordinate with the security team and specialist vendors across DLP, web security (Zero Trust / SSE), Web Application Firewall (WAF), cloud security, server & endpoint backup, and continuous threat exposure management (red teaming).

7. Team Leadership & Coordination

  • Lead and mentor the IT Administration team; assign clear ownership, timelines, and reporting.
  • Review team performance and uphold professional, disciplined work practices.
  • Act as the escalation point for complex IT administration issues.
  • Coordinate closely with the Cyber Security and Networking / Infrastructure leads.

8. Business Continuity & Improvement

  • Support business continuity planning (BCP) and disaster-recovery activities.
  • Identify gaps in IT administration processes and drive continuous improvement.
  • Recommend automation and standardization to improve efficiency and strengthen security posture.

Key Accountabilities

  • Stable and secure IT administration operations.
  • Zero undocumented changes or access.
  • Timely incident and request resolution within SLA.
  • Accurate, timely reporting to management.
  • Audit-compliant IT administration processes.

Requirements

Must Have

  • 8+ years in IT Administration, System Administration, or IT Operations, including 2+ years leading a team or function.
  • Strong Windows and Linux administration.
  • Endpoint management and patching at scale, with hands-on experience across MDM / UEM (Jamf, Microsoft Intune, or ManageEngine) and EDR/antivirus.
  • IT asset management, and application and license management.
  • Hands-on experience with ITSM tools and ticketing systems, and SLA-driven service delivery.
  • Identity and access governance across Microsoft 365 / Google Workspace and SaaS tools, including privileged access management.
  • Proven vendor and stakeholder management.
  • Strong documentation, process discipline, and audit-readiness.
  • Clear leadership, coordination, reporting, and escalation skills.

Good to Have

  • ITIL certification and relevant system or security certifications (e.g., Microsoft, Jamf, CompTIA).
  • Experience standing up and scaling IT in a startup, high-growth, or multi-entity (India + overseas) environment.
  • Experience supporting audits in a regulated, high-governance, or pre-IPO context.
  • Exposure to security tooling — DLP, Zero Trust / SSE, WAF, cloud security, PAM, and CTEM / red-teaming programs.
  • Scripting or automation for IT operations.

Qualification

  • Bachelor's degree in IT, Computer Science, or a related field.

Tools & Environment You'll Govern

You will own (and coordinate with the Security and Networking functions and specialist vendors on) a modern IT and security stack, including:
  • Device & endpoint: MDM / UEM (Jamf, Intune, ManageEngine), endpoint security / EDR, antivirus, and patch management.
  • Identity & access: Microsoft 365 / Google Workspace, SaaS access management, MFA, and Privileged Access Management (PAM).
  • Service & operations: ITSM / ticketing, infrastructure monitoring and alerting, and server & endpoint backup.
  • Data & network security: Data Loss Prevention (DLP), Web Security (Zero Trust / SSE), Web Application Firewall (WAF), and cloud security.
  • Assurance: continuous threat exposure management / red teaming.
  • Workplace: meeting-room AV and conferencing — screens, cameras, wireless presentation, and room scheduling for Teams, Zoom, Google Meet, and Webex.

What We Value

  • Ownership and accountability — leading by example.
  • A strong customer-service mindset across the organization.
  • Process and documentation discipline, and a bias for traceability.
  • Proactive, pragmatic problem-solving.
  • Raising the bar on IT reliability and security posture.
  • Adaptability in a fast-paced environment, and a habit of continuous improvement.
